Survey Builder is a secure, enterprise-grade Survey Builder that enables external insurance clients to create compliant member surveys using an approved question library while enabling internal content specialists to manage content, collaborate, review, approve, and publish surveys from one platform

Problem Statement

Insurance organizations frequently need to create and distribute customer surveys to measure satisfaction, collect feedback, and meet regulatory and quality improvement goals. However, the existing survey creation process is time-consuming, fragmented, and highly dependent on manual coordination between business stakeholders, content teams, and developers. How do you simplify a complex enterprise workflow while maintaining compliance?

Business Impact

The Survey Builder was designed to transform a manual, developer-dependent workflow into a scalable, self-service platform that empowers business and content teams to create, review, and publish surveys with greater speed and accuracy. By simplifying the survey creation process and introducing standardized templates, collaborative review tools, and automated workflows, the solution reduces operational overhead while improving the quality and consistency of customer communications.

Personas

The Survey Builder was designed around the needs of two primary user groups who work together to create, review, and launch customer surveys. Sarah Mitchell, a Marketing Manager, represents the business stakeholder responsible for quickly building compliant surveys that support customer engagement initiatives. James Carter, a Content Specialist, represents the internal reviewer who ensures every survey meets quality, compliance, and brand standards before publication. While each persona has distinct responsibilities, both rely on efficient collaboration, clear workflows, and accurate content to deliver successful surveys. These personas guided key design decisions throughout the project, ensuring the final solution reduced manual effort, streamlined approvals, and created a faster, more intuitive experience for everyone involved in the survey creation process.

Journey Map

The journey map illustrates the end-to-end experience of creating, reviewing, approving, and publishing a customer survey using the Survey Builder. By mapping each stage of the workflow—from defining survey goals through content review and final launch—it highlights the actions, thoughts, pain points, and opportunities experienced by both business stakeholders and content specialists. This visualization helped identify friction caused by manual processes, fragmented communication, and repetitive tasks, while uncovering opportunities to simplify collaboration, automate approvals, and create a more efficient, user-centered workflow. The insights gained from this journey directly informed the product's information architecture, feature prioritization, and interaction design, ensuring the final solution addressed both user needs and business objectives.

Information Architecture

Creating the information architecture was a critical step in designing a Survey Builder that is intuitive, efficient, and scalable. By organizing features, content, and navigation around users' mental models, the architecture establishes a logical framework that supports the complete survey creation workflow—from building questions and managing content to reviewing, approving, and publishing surveys. This structure reduces cognitive load, simplifies navigation, and ensures users can complete complex tasks with confidence while providing a flexible foundation for future product growth.

Accessibility

Accessibility was a foundational consideration throughout the design of the Survey Builder, ensuring that both survey creators and survey respondents can interact with the product confidently and efficiently. The interface was designed following WCAG 2.2 AA guidelines, with a focus on clear visual hierarchy, keyboard accessibility, sufficient color contrast, responsive layouts, and support for assistive technologies. By integrating accessibility into every stage of the design process—not as an afterthought—the solution creates a more inclusive experience, reduces usability barriers, and enables organizations to deliver surveys that are accessible to the broadest possible audience while meeting industry standards and compliance requirements.

Lo Fidelity

The low-fidelity wireframes for the Survey Builder were created in Stitch to rapidly explore the product's structure, navigation, and core user workflows before introducing visual design. This early design phase focused on validating the end-to-end survey creation experience, including building surveys, managing questions, collaborating with content teams, and reviewing approvals. By emphasizing layout, usability, and information architecture over aesthetics, the wireframes enabled quick iteration, early stakeholder feedback, and informed design decisions that reduced complexity and ensured the final product aligned with both user needs and business goals.

High Fidelity

The high-fidelity wireframes for the Survey Builder were created in Stitch to transform the validated user experience into polished, production-ready interface designs. Building on the low-fidelity concepts, this phase introduced visual hierarchy, consistent UI components, typography, spacing, and accessibility best practices while preserving the streamlined workflow. The resulting designs provide a realistic representation of the final product, enabling stakeholders to evaluate the complete user experience and giving developers a clear blueprint for implementation.

Design System

The Survey Builder Design System establishes a consistent foundation for every interface, ensuring a cohesive, scalable, and accessible user experience across the platform. By defining reusable components, typography, color palettes, spacing, interaction patterns, and accessibility standards, the system enables faster development, simplifies collaboration between designers and developers, and ensures every survey-building experience feels intuitive, reliable, and enterprise-ready.

An interactive prototype was created in Lovable to bring the Survey Builder experience to life and simulate how users would navigate the complete survey creation workflow. By connecting the high-fidelity screens into a realistic, clickable experience, the prototype enabled stakeholders to validate navigation, interactions, and overall usability before development. This stage provided valuable opportunities to gather feedback, refine the user experience, and ensure the final solution delivered an intuitive, efficient, and collaborative workflow for both business users and content specialists.

The Survey Builder solution provides a centralized, enterprise-ready platform that simplifies the creation, review, approval, and publishing of surveys through an intuitive, guided workflow.
